Welcome to Hill College! We are pleased to rent our campus to individuals and organizations not affiliated with the college. Whether you are hosting a workshop, seminar, or celebration, our rooms are designed to accommodate your needs. Follow these easy steps to reserve your space, and let us help you create a memorable and successful event.

Step 1: Download Facility Rental Request Form

  • Start Here: Download the Facility Rental Request Form to begin the process of reserving a space on campus. Please be as detailed as possible to ensure the success of your event!
    Please keep in mind the following rules and regulations:
    • Tobacco Products: Use of tobacco products in all college facilities. Smoking is only permitted outside must be at least twenty-five (25) feet from doorways.
    • Alcohol and Drugs: Not permitted.
    • Decorations: Glitter, confetti, rice, flower petals, or similar items are not allowed.
    • Food and Drink: Not allowed in the Governor Bill Daniel Auditorium in the Vara Martin Daniel Performing Arts Center (PAC).
    • Unauthorized Rooms: Rooms not listed on the reservation agreement are not to be used.
    • Parking: Vehicles must not be parked on the walkways or grassy areas surrounding the facility. Any food trucks, buses, or larger vehicles requiring specific parking must be arranged one month prior to the event.
  • Rental Rates: Consult these Rental Rates for rooms and pricing to select a preference for room type. If you are unsure if any of the rooms will accommodate your request don’t hesitate to contact us. Additionally, check the Maps for its location to help with your decision.
  • Date Requests: When providing dates, please consider the academic and college event calendar. Spaces on campus may not be available due to holidays and other campus activities.
  • Non-refundable deposit: To reserve, a 25% deposit of the rental fee is required. The remaining balance must be paid one month before the event. For bookings made less than a month in advance, full payment is required at the time of booking.

Step 2: Email Facility Rental Request Form
Send your completed Facility Rental Request Form to hcevents@hillcollege.edu. We will review your request and get back to you as soon as possible to move forward with the process.

Step 3: Review
Your request will be reviewed by Institutional Affairs and the Executive Leadership Team. If approved, we will proceed with your reservation.

Step 4: Facility Reservation Agreement
Once your request is approved, you will receive a Facility Reservation Agreement via email. Please read the rules and regulations section carefully, complete and sign the agreement, and return it to us via email. As soon as we receive your signed agreement, we will initiate the payment process.
